Â
As part of providing coaching, I may hold personal information relating to the child or young person I am working with. This may include relevant information provided by their parent/carer or school and brief records relating to coaching sessions.

Because some of this information may concern a child's emotional wellbeing, it may include information that requires additional protection under data protection law.

I only collect and record information that is relevant to providing coaching safely and appropriately.
Information provided by schools
Â
Where coaching is arranged through or takes place within a school, I may receive relevant information from the school, such as:

Â
I will only use personal information where I have an appropriate lawful basis for doing so under UK data protection law.

Depending on the circumstances, this may include where processing is necessary to provide a service or take steps towards providing a service, where I have a legitimate interest in processing the information, where I have a legal obligation to do so, or where consent has been given.

Where information requiring additional protection is processed, I will also ensure that an appropriate legal condition for processing that information applies.
4. Children's privacy and confidentiality
Grounded & Growing Coaching works with children and young people aged 6–16, so particular care is taken with their personal information.

Coaching provides children and young people with a space in which they can explore their thoughts, feelings and experiences. I do not routinely share everything a child discusses during a coaching session with their parent, carer or school.

Where appropriate, I may provide parents/carers and schools with general or high-level updates, themes, progress or suggestions that can help them support the child, while respecting the child's privacy and the coaching relationship.

There are circumstances in which information may need to be shared without the child's agreement. This includes where I have a safeguarding concern, believe a child or another person may be at risk of harm, or where I am otherwise legally required to disclose information.

Where coaching takes place within a school, I work within the school's safeguarding procedures.
5. Sharing personal information
I do not sell personal information.
Â
Information may be shared where it is necessary and appropriate with:
Â
-
parents or carers;
-
the child's school;
-
professional advisers, insurers or supervisors where appropriate;
-
service providers that support the operation of my business or website;
-
safeguarding professionals, statutory agencies or other appropriate organisations where there is a safeguarding concern or legal requirement.
Â
Only information that is reasonably necessary for the relevant purpose will be shared.
Â
Where third-party providers process personal information on my behalf, I take reasonable steps to ensure that appropriate data protection arrangements are in place.
6. Keeping information secure
I take appropriate steps to protect personal information from loss, misuse, unauthorised access, alteration or disclosure.
Â
Coaching records are stored within a secure, encrypted folder and access is restricted.
Â
I also take reasonable technical and organisational measures to protect electronic communications, administrative records and other personal information held as part of my practice.
Â
If I become aware of a personal data breach, I will take appropriate action in accordance with applicable data protection requirements.
7. How long I keep information
Personal information is kept only for as long as necessary and in accordance with relevant professional, safeguarding, insurance and legal requirements.

Coaching records relating to children and young people are retained until the young person reaches the age of 25. They are then securely deleted unless there is a legal or other legitimate reason why they need to be retained for longer.
Â
Other personal information is retained only for as long as reasonably necessary for the purpose for which it was collected. For example, information relating to an enquiry that does not result in coaching will not be retained indefinitely.
Â
I periodically review the information I hold and securely delete information that is no longer required.
